PaperPort Professional is a Windows application for scanning, organizing and assembling documents. It turns paper into searchable PDFs or editable text, combines pages from existing files and applies access controls to the resulting PDFs.
Scanning and text conversion
PaperPort accepts documents, receipts and photographs from all-in-one printers, desktop scanners and mobile scanners. Captured pages become digital documents on its desktop, where they can be organized with existing files or converted into searchable PDFs.
Scanning profiles provide a place to choose settings such as paper size. The Scan or Get Photo pane opens the selected profile's settings, and its Scan tab provides the Size menu for selecting the page dimensions.
The Display scanner dialog box option changes where these controls are handled. When enabled, PaperPort presents the scanner's own interface during capture. Its corresponding Scan-tab settings then become unavailable, so page size is chosen through the scanner interface.
For editable text, drag a scanned document onto a text application in PaperPort's Send-to bar. Optical character recognition converts the scanned text into content for word processing or spreadsheet software, where it can be edited.
Folder browsing and document search
Selecting a folder in the Folder Pane loads its files as thumbnails on the PaperPort desktop. This view shows document previews alongside one another, while the Details view provides an alternative listing for the same folder.
Desktop Options sets the number of items beyond which PaperPort switches to Details view. This controls how large folders appear; loading many thumbnails can slow the display, so a lower threshold reduces the thumbnail workload.
PaperPort creates searchable PDFs from scanned paper and digital files. Desktop search accepts keywords or phrases to locate documents. Recognized text in a searchable PDF lets a content query find a scan beyond its filename.
Page assembly and PDF creation
PaperPort Professional uses document thumbnails, page thumbnails and a split desktop to assemble documents. Pages can be separated from a document, reordered or merged into a new PDF.
PDF Create also turns application documents into PDF files and combines multiple files or formats into one PDF.
Passwords and encryption control who can access or edit a PDF. These controls apply to the document itself, allowing a combined file to carry access restrictions when it is shared beyond the PaperPort desktop.
