Overview

Adobe RoboHelp is an authoring system for online help, internal procedures, policy libraries, and support knowledge bases. Authors write information as reusable topics rather than as pages in one continuous document. A project then arranges those topics through a table of contents and sends selected material to one or more outputs. This separation solves a problem that ordinary word processors handle poorly: one maintained source may need different navigation, wording, and delivery formats for customers, employees, or product editions.

Topics become outputs

A topic is the main unit of writing in Adobe RoboHelp. Folders organize the source, while tables of contents decide how readers move through a published result. Index terms, glossary entries, variables, citations, and reusable snippets add information without forcing an author to duplicate whole passages. Cross-references can point between topics and update with the project rather than becoming pasted text.

The source project does not determine one final format. Output presets turn it into Frameless or Responsive HTML help, a knowledge base, PDF, Word, eBook, Content Only files, or Microsoft HTML Help. Each preset has its own title, path, language, table of contents, condition choices, and layout controls. Adobe RoboHelp can also publish through a file system or server connection and to supported knowledge services.

Conditions need presets

Condition tags mark material for a particular audience, product, platform, or other distinction. Applying a tag is only the authoring half of the job. The chosen output preset must select a condition expression or a dynamic content filter before that tag changes the generated material. An expression can include or exclude tagged content and combine rules with AND or OR logic. A dynamic filter ships with the output and lets the reader filter the tagged material after publication.

This split creates an easy mistake. A topic can look correctly tagged in the editor while the output still contains it because the preset has no matching expression. The reverse is more serious: a broad exclude rule can remove a required paragraph or an entire topic. Previewing one tagged topic does not prove that every preset uses the intended condition logic. Each important output needs its own generated check.

Navigation has layers

The folder tree, table of contents, and generated navigation answer different questions. Folders help authors maintain source files. A table of contents defines the reader’s hierarchy. Links and indexes create other routes into the same topics. Moving a source topic to another folder does not automatically mean it should move in every published table of contents. Adobe RoboHelp keeps these layers separate so one topic can appear in more than one reading path without copying its body.

Microcontent handles compact answers that a search or context-sensitive interface can display without opening a full topic. It still belongs to the project and needs the same care with wording, variables, and conditions. An answer fragment that depends on an explanation in a hidden topic can lose its meaning when it appears by itself.

Generation replaces files

Generating a preset writes a fresh output to the destination stored in that preset. Adobe RoboHelp clears the output folder as part of generation. The destination therefore should contain generated material only. Placing hand-edited HTML, an unrelated download, or the only copy of an image in that folder risks losing it on the next build.

A successful generation also does not prove that a remote publication succeeded. Generation creates the local result; publishing transfers it through the configured destination. Connection credentials, server paths, and service-specific settings can fail after the files build correctly. Keeping the generated folder separate from the authoring project makes this boundary easier to inspect and prevents an output cleanup from touching source topics.
