GREmailRobot is Windows email automation software from GRSoftware. It checks POP3 accounts and applies jobs that save attachments, extract archives, preserve messages or forward mail. The program also launches external applications after matching messages. It uses a commercial license with an evaluation version.
Accounts on a polling cycle
Each account has a server address, login details, port and connection-security setting. GREmailRobot supports SSL from the start of a connection or TLS negotiation after connecting. Users can enable accounts separately and test whether each connection retrieves its message list.
A polling interval controls how often the program checks accounts. An optional startup check begins immediately, while Check Now starts a scan between scheduled checks. Start and Pause control the internal scheduler without removing the account or job definitions.
Two checks before an action
A job combines message tests with an action. Each test selects a message field, comparison and search string. The fields include subject, sender, recipients, body and attachment filename. Two conditions use AND, so both must pass when both checks apply.
Comparisons include contains, equals, not equals, starts with and ends with, with separate choices for case sensitivity. Empty and nonempty tests check whether a field has content. A no-check option accepts every message.
GREmailRobot runs jobs in priority order, with lower numbers first. A job can wait until an activation date, remain disabled without deletion, and carry a comment explaining its purpose. Its notification option sends email when it runs.
What each file action writes
The job’s action selects what to preserve and where it goes. GREmailRobot distinguishes the attachment, message body and complete original message:
| Action | Local result |
|---|---|
| Save attachments | Attachment files in the destination folder |
| Unzip attachments | Archive contents in the destination folder |
| Save body text | A text file with the .txt extension |
| Save original message | A complete .eml message file |
Overwrite choices replace an existing file. The alternatives preserve both files by adding a parenthesized number to the new filename. Message and body exports use the subject for the filename and replace invalid filename characters with underscores. Archive extraction supports standard ZIP archives rather than ZIP64.
A separate checkbox decides whether GREmailRobot removes the source message from the mail server after processing. The Do Nothing action can therefore combine with server deletion without creating a local file.
Message text shapes the destination
Additional rules can derive attachment names or extensions from the subject or body. They can also append a subfolder using message text, the computer’s date, or its date and time.
After users enable body macros, an incoming message can replace the job’s destination folder or append a subfolder. Another macro renames an attachment through an exact filename match; a wildcard applies the rename to all attachments. These rules make the output path or filename depend on each message rather than one fixed job setting.
Forwarding through SMTP
The Forward Message action uses recipient addresses instead of a destination folder. Semicolons separate multiple addresses. GREmailRobot’s SMTP settings supply the outgoing server, sender address, port, authentication and SSL or TLS mode. A test-message control checks that sending route.
Launching a program after processing
A job can run an external application after its action finishes. Users specify the application’s full path and optional arguments. Parameter macros insert the subject, sender, recipient, a portion of the body or attachment paths. The attachment macros can supply one file or all attachments, with quotation marks around paths that contain spaces.
Background execution
GREmailRobot can run as a Windows service while nobody has a desktop session. Its service account controls access to network destinations. Command-line options can select a settings file, start an email scan immediately and quit after the scan.
Inspecting each run
The Log tab shows operations and errors, with detail levels that extend to protocol debugging. Users can export the log to a separate file. GREmailRobot also opens the .eml messages it saves, showing their headers, body and attachments. The viewer switches between plain text, available HTML and raw source, and can extract individual attachments.
