Trello App turns a shared project into boards made of lists and cards. A board holds one area of work, each list gives cards a visible stage, and a card carries the details of one task or item. Moving a card between lists changes its place in the workflow without moving a document on the phone. Unlike a local to-do list, Trello App keeps the board in the Trello account so members can see the same card movement and discussion.
Cards hold context
A card can begin as a short title and then collect a description, comments, labels, attachments, and dates. Members can assign people to it, watch it, or add a checklist when the work has smaller steps. The card remains one object while those details change, so a link to it continues to open the same work item rather than a copied message.
Trello App requires board membership before a person can add a card. A public or visible board does not automatically grant editing rights. Depending on the board settings, the person may be able to join directly; otherwise, an existing member must send an invitation. This permission boundary explains why someone can open a board link yet see no working Add card control.
Movement shows status
Lists supply the board’s working order. One team might use them for requests and completed work, while another uses dates or departments. Trello App does not assign a universal meaning to a list. Dragging a card changes its position, and board members decide what that position means.
Templates reduce repeated card setup when the same checklist or description appears often. A template creates a new card with that prepared content; editing the new card does not rewrite the template or earlier cards. Cards can also move to a different board, but the destination board’s permissions and available fields still govern the result.
Capture on mobile
Trello App can add a card from the in-app plus button, a home-screen widget, or a long press on the app icon. These shortcuts are useful when the title matters more than immediate formatting. The new card still needs a destination board and list, so the shortcut does not behave like an unsorted note stored only on the device.
Attachments and comments make the card heavier than its title suggests. Trello allows thousands of cards on one board, but its own guidance warns that performance may suffer above roughly one thousand cards, especially when cards contain large attachments. Splitting old work into another board can therefore improve navigation even though the published card limit has not been reached.
Notification conditions
Trello App does not alert every member about every board change. Card notifications depend on assignment or watching, and Trello does not notify a user about that user’s own actions. A due date also needs a reminder and membership or watching before it triggers a due-date alert. Setting a date alone is not enough.
Email adds another timing rule. Even the Instantly option has a short delay, and Trello cancels the matching email if the user reads the notification inside Trello before the message leaves. Mobile push controls divide alerts into mentions, due dates, card changes, and wider board or workspace activity. Those in-app controls do not govern activity from people who joined through a shareable board or workspace link, so a noisy shared-link board may need its invitation method or watching choices reviewed separately.
