Overview

In 2022, I began selling handmade candles from my apartment and everything was done through my personal WhatsApp. I would get messages from customers and have to search through hundreds of messages to find their orders and then forget to reply to them because they were buried in a group chat about plans for the weekend. I was recommended to download WhatsApp Business by a friend, and after a week I was asking myself why I didn’t do it sooner. Two years later, I am facing the same walls that this app wasn’t built to deal with and I am beginning to see why Meta created a paid API to go along with it.

WhatsApp Business is a standalone free application developed by Meta, which can be installed on the same device as your regular WhatsApp. You sign up with a different number (this is important, not your personal number) and receive a set of features that the regular app does not have, but are geared towards your business. You can set up a business profile, including your address, hours, website and a brief description. Product catalog is available to post products with images and prices within the app. Automated greeting messages for new customers, away messages for when you’re not around and quick replies that allow you to save canned responses to common questions and send them with a shortcut. Labels can be used to mark conversations as “new order”, “pending payment”, “completed” or any other labels that make sense for your workflow.

These features are a significant improvement over the standard WhatsApp for a single user or small group. I would have had to send the same 10 product pictures to every person who asked me what I sell if the catalog wasn’t there. I would simply direct them to the link of the catalog and let them look around. Quick replies halved my response time as I was not typing the same explanation of shipping policy 40 times a week. The greeting message is what made it possible for me to respond to the first message I received at 2 AM from someone in a different time zone, letting them know my hours and I’d get back to them in the morning. Nothing here is groundbreaking technology, but for a company that is all about chatting, it’s the difference between appearing professional or like you’re making it up as you go.

The first place I hit a hard ceiling was the broadcast feature. Send a message to several contacts at once, which is a good idea for introducing a new product or a sale. However, the maximum number of contacts in a list is 256, and here’s something no one will tell you right off the bat: The message will only be sent if the recipient has saved your number in their phone. So if you have 500 customers and only 180 of them bothered to save your contact, your big product launch announcement will only reach about a third of your customers. I spent an entire evening writing a message for a holiday sale and the following day I learned that most of my customers didn’t get it. It was a bad morning.

The main issue with this app is scaling. WhatsApp Business was clearly made for that bakery down the street, and not for a business that’s really expanding. It can be used on 5 devices, of which one must be a mobile phone. No CRM integration, no analytics other than number of messages, no systematic way to pass conversations to team members. One time I had to hire someone to assist me with customer messages and we were both logged into the same account and stepping on each other’s toes all the time. There is no internal assignment system, no ticket tracking, nothing. If you’re interested in any of that, then Meta wants you to use the WhatsApp Business Platform (API version), which is not free, you have to work with a third party provider, you have to pay per conversation, and the setup process is much more complicated.

Another gripe I have with this app, like most small business owners I know, is the video and image quality. I work on taking good product photos and make short promotional videos for status updates. WhatsApp does a lot of compression and the quality is clearly not as good as what I uploaded. The compression is counterproductive for a platform that’s supposed to help you sell things visually. I have received requests from customers asking me if my candles really do look that blurry, which isn’t exactly a confidence booster.

The issue of privacy is a different discussion altogether. While WhatsApp personal messages are end-to-end encrypted, customer messages sent to a business account that is using the Business Platform can be processed on Meta’s servers. The regular WhatsApp Business app is less straightforward, but because it’s a Meta product, metadata (who you message, when, how often, etc.) can contribute to the larger Meta advertising ecosystem. Mozilla also found that at one point, 1500 engineers reportedly had access to user data without audit controls. This is something to consider if your customers value privacy, and depending on your industry, they may value it a lot.

The app is stable on a day-to-day basis. No crashes, messages sync OK and voice calls work. The interface is pretty much the same as WhatsApp, with additional tabs, so there is hardly any learning curve. It takes approximately 15 minutes to set up. A solid and completely free tool that is more than you’d expect for free, for a freelancer, a local shop, or anybody who is dealing with less than a couple hundred customer conversations per week.

However, if your business is expanding — and, after all, that’s why you have a business — you’ll quickly run up against the walls. The 256 broadcast cap, no integrations, 5 device limit, no analytics. At that time you’re either paying for the API or duct taping workarounds that create a messier workflow than necessary. WhatsApp Business is a great on-ramp. Be aware that the toll booth is located on the highway to which the road leads.
