Overview

KLS Backup 2025 is backup and folder-synchronization software for Windows PCs and Windows Server. It saves selected files, application profiles and, in the Professional edition, databases and remote data to local, network or cloud storage. Backup sets retain recoverable file versions, while synchronization jobs update the contents of paired folders.

Backup sets and stored files

A backup set holds the selected sources and the settings used for repeated jobs. Folder items can include their subfolders and empty folders. Include and exclude filters control which files enter the backup, with settings applied across the profile or to an individual item.

KLS Backup can also collect application-specific data through profiles and plugins. Browser and email profiles include applications such as Firefox, Chrome, Outlook and Thunderbird. Volume Shadow Copy support allows jobs to back up open files.

Compression and destinations

Selected data can become one compressed archive or be copied as separate files. ZIP and 7z storage offer compression and encryption; uncompressed copying keeps files separately accessible at the destination. Other copying options create an individual archive for each source file or encrypt each copied file.

Volume settings split an archive into parts of a chosen size. Password-protected archives support AES encryption. SSL/TLS connections protect supported remote transfers separately from the encryption applied to stored backup data.

Both editions can write to local, removable and network drives, optical media, FTP and WebDAV destinations. Cloud destinations include Azure, Amazon S3, Google Cloud, OneDrive, Google Drive, Dropbox and Backblaze B2. Professional adds SFTP and OpenStack destinations, plus a secondary destination for another backup copy.

Backup versions and recovery in KLS Backup 2025

Full, incremental and differential jobs

A full backup copies all selected files on each run. An incremental backup copies files changed since the preceding backup. Professional also offers differential backups, which copy changes since the last full backup, and Copy backups, which create a standalone full backup.

Change detection can use a file’s last-modified date or its archive-bit attribute. Jobs can switch back to a full backup after a chosen number of incremental or differential runs. This creates a new full archive to which subsequent changes relate.

Catalogs and retention

The archive library records each backup run and the files it contains. Its local catalogs support searches while the backup storage is offline. A backup set has its own history, so the same file can be located in different saved versions.

Retention settings keep a chosen number of archives or those within a specified period. A full backup and its subsequent increments count as one archive for this purpose. Disabling version management instead replaces an existing archive with the same filename.

Incremental and differential backups require the catalog stored alongside their archives. Deleting an archive within a backup chain also deletes archives that depend on it. These relationships determine which versions remain available for recovery.

Restoring selected data

The restore wizard presents the archive’s contents as a tree of selectable files and folders. The user can recover the whole archive or only selected items. Recovery can return them to their original locations or write them to a custom folder.

A custom destination can preserve the source directory structure, including separate paths for local and network sources. Another option restores files without their folder paths into one directory.

Folder synchronization

KLS Backup pairs folders in synchronization items, and a set can hold several pairs. Each pair has its own source locations, subfolder selection and file filters. Jobs update or mirror folder contents instead of storing them only inside backup archives.

The user controls transfers in each direction: updating existing files, copying missing files and applying deletion rules. For matching filenames, the update policy can prefer newer, older, larger or smaller files. A fixed-direction policy can always copy from left to right or the reverse.

A preview identifies planned transfers, deletions and files that stay unchanged before synchronization runs. Continuous synchronization and version support are available in both editions, with versions allowing deleted files to be restored. Professional additionally supports cloud-to-cloud synchronization.

Scheduled jobs and database backups

Running jobs and reviewing logs

Windows Task Scheduler can run saved jobs daily, weekly, monthly or at chosen times. Professional adds the KLS Backup Service and its scheduler, a calendar view and groups that run or schedule multiple profiles. Before and after actions attach other operations to a job.

Logs can record major stages, detailed operations or every backed-up file, with an option to omit skipped files. They can be saved as text or HTML and emailed. Professional adds Windows Event Logs and notification plugins for SysLog and Amazon SNS.

The Professional Web Monitor displays job activity and starts jobs from a browser. Its command-line interface runs saved jobs from a command prompt, PowerShell or a batch script. These provide additional ways to execute and monitor the same backup profiles.

Database selection

Professional includes database plugins for SQL Server and MySQL/MariaDB. The SQL Server plugin connects to a local server and creates full backups of selected databases. The MySQL plugin connects to a local or remote server and lets the user select databases and individual tables.

Include-all options can automatically add newly created databases or tables to later jobs. Database selection therefore remains part of the saved backup configuration. Professional also includes direct POP3 and IMAP mailbox backup plugins.

Standard and Professional editions

KLS Backup 2025 is sold in Standard and Professional editions, with evaluation trials available. Both support archive retention, selective recovery, encryption and continuous folder synchronization. The differences affect backup sources as well as job automation and destinations.
