ShareX is a Windows capture and file-sharing utility built around repeatable workflows. It can grab a full screen, window, scrolling page or selected region, then pass the result through editing, saving, copying and uploading steps. That makes ShareX different from a basic screenshot key: one hotkey can perform a complete sequence, while another hotkey can use a separate sequence for private or public material.
Captures become tasks
Each capture starts a task. A region selection normally finishes when the mouse button is released, but multi-region mode stays open so several areas can be adjusted before the user confirms them. ShareX can reuse the last region, capture one monitor or select an active window without requiring the same manual crop every time.
The next action depends on the selected task settings. A capture can go straight to the clipboard, save locally, open in the editor, remain pinned above other windows or continue to an upload destination. Enabling several actions creates an ordered chain rather than independent buttons. An unwanted upload can therefore happen immediately if Upload image to host remains enabled in the wrong workflow.
Redaction comes first
The image editor adds arrows, numbered steps, text and shapes. It can also crop an image or hide account names and other private areas with blur, pixelation or the smart eraser. Annotations stay movable until they are flattened or the final image is produced, so a label can still be corrected before ShareX continues.
When the editor opens as an after-capture task, continuing applies the edits and resumes later actions. Cancelling stops that task instead. This distinction matters when an upload follows the editor: closing the wrong way can discard the capture, while continuing without checking every corner can publish information that the redaction missed.
Uploads need a destination
ShareX separates image, text and file destinations. After an upload, it can copy the returned URL, open it, shorten it or display a QR code. A custom uploader can send requests to a self-hosted service and parse the normal URL, thumbnail URL, deletion URL and error message from the response.
ShareX itself does not turn a third-party host into private storage. Anyone who receives a public URL may be able to open it, and deletion depends on the destination retaining a usable deletion address or account control. The official workflow guidance recommends testing automatic uploads with a non-sensitive image. A local-save task before uploading also preserves a copy when the host rejects the request or later removes the file.
Hotkeys can diverge
Hotkeys are most useful when they describe intent. One can capture a region, open the editor and save only to disk. Another can capture a window, upload it and copy the link. ShareX can also run a named workflow through its command-line interface or accept a file for a task that has already been configured.
This flexibility creates setup work. Two hotkeys that look similar may use different after-capture settings, destinations or file naming rules. A failed global hotkey registration can also leave the expected shortcut unavailable. Naming workflows by outcome and testing them with disposable captures makes the task list easier to trust.
Recording is separate
Screen recording and animated image recording use capture regions but produce different files from still screenshots. Recording requires the chosen encoder path and audio arrangement to work before the session begins. ShareX can make quick clips and pass them through later actions, but it is not a timeline editor. Trimming a long mistake or mixing several recordings still belongs in a separate video editor.
